Before Session
- Arrive approximately 10 minutes before the session begins.
- Meet the speakers, who will upload their talks onto the room’s computer or check their own notebook computers.
- Introduce yourself and ask for bio/affiliation and additional information for properly presenting them (i.e. name, affiliation, correct pronunciation, etc.)
- Notify the total allotted times for speakers at different levels vary and are arranged as follows.
Tutorial: 35 + 5 minutes(Q&A)
Plenary: 25 + 5 minutes(Q&A)
Keynote: 20 + 5 minutes(Q&A)
Invited (Regular / Rising Star): 15 + 5 minutes(Q&A)
Contributed: 12 + 3 minutes(Q&A)
- Notify each speaker that a countdown timer will warn him at one minute prior to the Q&A time and again at one minute before the end of the allotted speaking time.
During Session
- Introduce each speaker, briefly, by using name, affiliation and subject of the speech.
- Keep the session moving smoothly and on time.
- Ensure time for questions.
Wrapping up Session
- After the last presentation, please thank the audience for their attention and questions.
- Provide information about follow-up such as next sessions, coffee break, lunch or dinner.
Note: A “Conference Assistant” will be stationed in your conference room to help you with anything you need, or any questions you might have.
